Use Mainsaver’s Customizable Color Codes to Automatically Highlight Work Orders Requiring Attention in Your Maintenance Backlog

Maintenance Challenge:

Effectively managing the work order backlog is a constant concern for maintenance and reliability teams, often discussed in conferences and meetings. The backlog can consist of various types of work orders, including undone tasks, incomplete closures, potential projects, and deferred work. Addressing this challenge requires a solution that provides visual cues to encourage proactive measures, preventing the accumulation of overdue tasks. 

CMMS Solution:

Mainsaver, in its M20 version, introduces a powerful feature to tackle this issue through customizable color-coded cues.  It allows you to define a color scheme to highlight work orders based on priority and due dates.  Here’s how it works:

Methodology:

1. Choose a color scheme for work orders

Define a color scheme to categorize work orders based on priority and due dates. The priority levels and due date categories can be assigned specific colors to visually represent the urgency of each task.

  • Priority 1 = Yellow
  • Due in 1 day = Orange
  • Past Due Date = Pink

Note: If a work order meets multiple criteria, the first specified color criterion takes priority.

2. Configure Color Settings in System Administration:

  • Open the System Administration Module.
  • Navigate to Security and Settings, Table View Background Color Setup.

3. Utilize Expression Builder:

  • The expression builder must contain a true/false type expression similar to a query.  Date computation functions are available for assessing the timeliness of work orders compared to their due dates.
  • Some examples are below.  An expression is only needed for color shading.  White background will remain as the default.

4. Add descriptions for each criterion:

  • Specify titles or descriptions for each criterion to enhance clarity and understanding.

5. Choose palette colors:

  • Utilize any color from the palette to represent each criterion. Test the appearance to ensure visibility and effectiveness.

6. Testing and Adjustment:

  • Exit and re-enter the Maintenance module.
  • Retrieve a table view to observe the color-coded work orders.
  • Adjust colors as needed based on the visual impact and user preferences.
